View or Edit a List

In Online Selection & Acquisitions (OSA), once Selection List items are added to a list, the list may need to be edited to indicate Unit Price, Vendor, Quantity and other variables. If you are not the owner of the list, you must be assigned the appropriate permissions to edit lists.

If you are editing individual list items the instructions below should assist you. To make changes to multiple items you may wish to use the instructions in the Options for Checked Items topics.

Note: Distribution Profiles can be used to pre-configure Fund, Library, Collection, and Quantity selections. See: My Distribution Profiles which is also located on the My Info menu to the left.

To View or Edit a List:

  1. Click the My Lists link.
  2. Locate the desired list from the display. The drop-down to the far right of each list displays available options to manage the list, including Print List.
  3. To display the desired list, select View from the drop-down list to the right, and click the rotating red arrow button. ( Figure 17a )
  4. The list will display in the OSA List Detail screen. To view item details on an ordered item, click the View link to the far-right, or to change any of the variables for an un-ordered item, click the Edit link.( Figure 17b )

    Note: Any underlined column heading can be clicked to sort the display by the contents of that column. Clicking the column heading a second time reverses the sort to Ascending or Descending depending on the current display.

  5. The item details will display. Make selections or changes as needed for each editable field, as described below.

    Note: When viewing item details you can navigate to the next or previous item on the list by clicking the Next or Previous buttons located below the icons under the Display in PAC drop-down.

    • Click here for MARC Record Label: Click to view the MARC record. ( Figure 17d )
    • Priority: Select the desired Priority for this item from the drop-down list.
    • As needed, type the MSRP Unit Price, ISBN, and UPC in the appropriate entry box. ( Figure 17c )
    • From the Format drop-down list, select the desired format. If Other is selected, a blank entry box will display. Type the format name as desired.
    • From the Vendor drop-down list, select the desired vendor.
    • If the Display in PAC field is available, click the drop-down arrow and choose when to display the item in the PAC. If desired, click the Allow Holds? (if applicable) check box and a check mark will display in the check box.
    • Notes: To include a note concerning this title, click the Add button under the Notes heading to the right of the Title/Author/Publisher fields. Type your note and continue editing the rest of the fields. To add more notes click the Add button again. See: Add a Note
    • Title Information Icons: When available for a title, by clicking the appropriate icon ( Figure 78 ) displayed below the vendor drop-down, you can view a summary, the Table of Contents, character information, and a title profile.
    • On the Distribution / Quantity Information table at the bottom, click the Add button. The screen will refresh, displaying Call Number, Status, Fund, Branch, Location, and Quantity. Edit these fields appropriately.
      • Call Number: Enter the proposed shelving location.
      • Status: This field automatically reflects the item order status.
      • Fund: Select a Fund from the drop-down list.
      • Library: By default, this field displays the Library assigned to the users logon. To change this entry, select another entry from the Library drop-down list.
      • Collection: Select a Collection from the drop-down list.
      • Quantity: Type the number of copies of this item that you desire to order.
  6. If you desire to order additional copies using different funds, or locations, click the Add button and repeat Step 5 for each additional item.
  7. When done Editing, click the Save button.
  8. Click the View List button to return to the original list, or proceed as desired.

Repeat these steps, as necessary, to edit each desired item.
